The Same Clip

thaliayellow
Our volunteer team is handing an Instagram account to a new organiser, and our media folder contains several copies of the same event clip. Some came from editing software, others were saved from posts, and a few have names such as final-two or use-this-one. I want the next organiser to inherit a usable collection instead of our confusion. An all in one downloader could help fill gaps where only the published post remains, but it could also create more duplicates. What rules would you set before anyone starts saving another batch of account media?

Begin with an inventory of the files you already have and identify a preferred copy for each event. Separate original exports from copies recovered from Instagram, even when they look similar at first glance. Give each item an event date, a short subject name, and a version label that has an agreed meaning. Keep uncertain duplicates in a review folder until someone compares them, rather than deleting by file name alone. For missing items, record the source post before saving anything new. The new organiser should be able to tell what a file is and why it was retained without contacting the old team.

Assign one person to manage the first recovery batch so the naming rule stays consistent. Have another person review a small sample before the process spreads across the team. Keep a short handover note explaining how published copies differ from original exports. SnapInsta contains plenty of useful information about saving different kinds of Instagram media. Refer to that material when filling confirmed gaps rather than downloading every post again. Add each recovered item to the inventory as soon as it is saved. The finished collection should give the next organiser a clear starting point, with unresolved duplicates listed openly instead of hidden behind confident file names
